How the website forms work
The general enquiry and project brief forms send the information you enter directly to Ocula Tech when you choose to submit them. Before sending, your browser completes a short, self-hosted proof-of-work check to reduce automated spam. This check does not use advertising or analytics cookies and is not used to profile you.
Our website hosting and security services process the request, and our authenticated email service delivers it to our business mailbox. We do not intentionally save form contents in a website database. Once the message reaches our mailbox, we keep and use it as described below. If direct submission is unavailable, the form offers an email fallback.
Information we may receive
- Your name, email address, telephone number and organisation.
- Information included in an enquiry, project brief or other correspondence.
- Business and project information created while discussing or delivering work.
- Basic technical information that our hosting provider may process, such as IP address, browser or device type, requested pages, timestamps and security events.
Please avoid sending sensitive personal information unless it is genuinely necessary.
Why we use it
We may use personal information to:
- Respond to enquiries and prepare proposals.
- Take steps you request before entering into a contract.
- Deliver and administer agreed services.
- Maintain business, accounting and legal records.
- Protect the security of the website and our systems.
- Establish, exercise or defend legal claims.
Our lawful bases are steps requested before entering into a contract, performance of a contract, compliance with legal obligations and our legitimate interests in responding to enquiries, operating the business and keeping our services secure.
We do not use website enquiry information for solely automated decisions or profiling, and we do not sell personal information.
Who we share it with
Form information is processed by the providers supporting our website hosting and security and by Hostinger, our email provider. Where necessary, information may also be shared with trusted providers supporting our communications, IT and professional services, or with advisers, regulators, courts or public authorities where required by law.
Some providers may process information outside the UK. Where this happens, we use the protections required by applicable data protection law.
How long we keep it
General enquiries are normally retained for up to 24 months after the last meaningful contact. Client, contractual and financial records may be kept for up to six years after the relevant relationship ends, or longer where the law requires it.
Technical records are retained for the limited operational periods applied by our hosting and security providers. We review information periodically and remove it when it is no longer needed.
Your rights
Depending on the circumstances, you may have rights to ask for access to, correction of, deletion of, restriction of or transfer of your personal information. You may also object to processing based on legitimate interests. These rights are not absolute and exemptions may apply.
